FACILITY:
MEET FORMAT: The meet will be swum in Short Course Yards with Friday, Saturday and Sunday offering trials and finals events for 11 & Over swimmers and timed-final events for 10&Under swimmers on Saturday and Sunday. Combined ten lane heats will be swum in timed-finals and prelim sessions. For the trials/finals events, the top 20 swimmers in each age group will advance to swim in two 10-lane final heats (i.e., trial sessions will be swum as 11 & over events, but the final heats to be swum for the respective age groups). The standard USA Swimming approved procedures for scratching finals events will be applied (e.g., once trial results are announced, swimmers will have 30 minutes to declare their intention to scratch) Awards will be given in 8 and Under, 9-10, 11-12, 13-14, and 15 & Over Age Groups.
Morning and afternoon sessions will be seeded after the positive check-in deadline before the start of the competition. Coaches and swimmers must check-in with the Clerk of the Course no later than forty-five minutes before the session is scheduled to start. There will be no bullpen. Heat and lane assignments will be posted and handed out to officials and coaches prior to the start of competition. Swimmers are to report directly to their assigned lanes before their event and heat is called. Coaches are responsible for ensuring their swimmers are in the correct heat and lane.
TIME STANDARDS: 200/500 Free and 200/400 IM events will
require that swimmers enter with verifiable “B” Time Standards for their
respective age groups (see Time Standards at the end of this notice). Entry times must appear in the SWIMS database
to be considered verifiable and must have been achieved on or after September
2007. If space is available, swimmers
with unverified times or times that are less than “B” time standards will be
allowed as the time-line permits and on a first-come first-serve basis based on
team entry date. If we receive more than
enough entries with verifiable “B” time standards, we reserve the right to cut
those events by time in order to adhere to the session length as agreed upon
with

ELIGIBILITY: All contestants must be 2009 USA
Swimming registered athletes and must be registered before the entry is submitted. In accordance with NE Swimming rules, teams
that enter unregistered swimmers will be subject to a fine of $100 per
unregistered swimmer.
ENTRY INFORMATION: From an entry standpoint, a perfectly balanced meet with sessions of the anticipated three to four hour lengths will allow approximately 5,300 splashes. Therefore, the 75% rule, as defined by New England Swimming, means that 4,000 entries may be reserved for invited teams. Entries from invited teams will be accepted on a first come first serve basis up to this limit of 4,000 splashes, and must be received no later than November 25, 2008. Email electronic entries in CL2 or SD3/SDIF format (such as from Hy-Tek Team Manager or other team management software) to the entry chairperson at remecon@comcast.net. Full payment and a printed copy of the entry, including the swimmer facilities fee, must be received by November 28, 2008. If payment is not received by November 28, 2008, then the invited team will be scratched from the meet and required to resubmit their entry and make payment following the same procedure required of any other team attempting to enter the meet thereafter.
All other teams wishing to enter may submit their entries
beginning November 28, 2008 by emailing electronic entries in CL2 or SD3/SDIF
format (such as from Hy-Tek Team Manager or other
team management software) to the entry chairperson at remecon@comcast.net. Payment and hardcopy of the entry must be
received with four (4) days, excluding Sunday and holidays, of receipt of the
email entry. If payment is received more
than four (4) days, excluding Sundays and holidays, after the email entry, the
payment receipt date will be considered the date of entry. Make checks payable to Greenwood Memorial
Swim Club, Inc. and mail hard copy of the entry (including signed entry cover
page and waiver) and payment to the entry chairperson,
All entries must be complete and accurate and must use full names and registration numbers from USA Swimming registration. All entries must include a completed and signed entry cover sheet and waiver. No refunds for entries that are accepted or entries that are rejected due to improper entry (i.e., meet fees will not be returned or credited to new entries for scratches or errors or unverifiable times). Deck entries will only be accepted if the meet is not designated as full on or before January 6, 2009 or if there is a sufficient number of scratches on the day of the meet and then only if permitted by the meet director and/or meet referee. Please include the email address of your team’s contact(s) so all future meet correspondences can be sent to this email address.
ENTRY LIMITS: As per USA Swimming rules, 11 & Over Athletes swimming trials and finals events may enter and swim in a maximum of 3 events per day including time trials while athletes swimming in timed-final events are limited to five events per day.
ENTRY FEES: Electronic entries: $5.00 for individual 11 & Over events and $5.00 for all distance events (400 yards or longer). $4.00 for individual 10 & Under events. Non-electronic entries: $5.50 for individual 11 and Over events, $4.50 for 10 and Under events, $5.50 for distance events. The Swimmer Participation Fee is $10.00 per swimmer. Time trials if permitted by the meet referee and meet director will be charged at $5.00 per event.
ENTRY TIMES: All entries must be specified in short-course yard (25-yard pool) times. Meter times must be converted to yard times. For the 200/500 Free and 200/400 IM events, only swimmers who have met ‘B’ motivational time standards per US Swimming (9/13/04) will be accepted for entry. Entries with “NO TIME’ will be rejected; times that do not meet ‘B’ motivational time standards will be wait listed.
ENTRY TIME UPATES: Entry times may be updated through 6 pm on January 5, 2009. No new entries will be accepted after that date. Entry time updates should be sent via email to the entry chairperson at remecon@comcast.net. Entry time updates must be sent as Hy-Tek format CL2 files with updated times. (New entries will be automatically excluded.)
METHOD OF CLOSING THE
MEET: Greenwood Memorial Swim Club
will limit the number of swim in the meet to adhere to session time lines. GMSC will reserve 75% for its own team and
any other teams (
PROGRAMS: $4.00 for both 10&Under Sessions; and $6.00 for all 11&Over Sessions. 11&Over Final heat sheets will be $2.00.
ADMISSION: $1.00 per session for non-swimmers 18 years of age and over. Those who volunteer to time or officiate will not be charged admission.
WARMUPS: The pool will open for warm-ups at 9:00 AM on Friday morning and 7:00 AM both Saturday and Sunday mornings. Teams will not be assigned warm up lanes (i.e. open warm ups) as approximately sixteen lanes will be available from 7:00 AM to 7:50 AM each morning. The competition pool will be cleared 10 minutes before the start of competition (i.e. 8:50 AM); however, lanes in the diving end of the pool will be available for continuous warm up throughout the competition. Warm-ups for the timed-final 10&Under Sessions on Saturday and Sunday afternoon will begin at 1:00 PM. Warm-ups for 11&Over finals sessions will begin at 5:30 PM.
On Saturday and Sunday, the diving well will not be
available for warm up or warm down from 11:30 AM to 1:30 PM, and the
competition pool will be closed from the end of the morning cession up until
1:30 PM. in order to accommodate open swim for members of the
SAFETY:
Failure to abide by these rules and any other rules that may
be announced or posted by meet officials during the meet may result in ejection
from the facility. Meet officials will
watch for swimmers or meet spectators who violate facility regulations. Horseplay will not be tolerated. Parents must supervise younger children in
attendance at the meet. Meet officials
have the authority to dismiss swimmers and spectators from the grounds. Coaches are responsible for communicating
this to both swimmers and parents. No
pets of any kind are permitted within the complex. Boston
University, Greenwood Memorial Swim Club, and
RULES: 2009 USA Swimming rules will govern all competition. Decisions by the meet referee will be final unless a written protest is lodged within 30 minutes of the heat swum.
TIME TRIALS: Time trials may be offered at the discretion
of the meet referee if the timeline allows.
Such deck and time trial entries will be charged $5.00 for individual
event.
DECK ACCESS: Only athletes, coaches, officials, and official meet staff are permitted on the pool deck. All non-athletes on the pool deck must display their USA Swimming registration card at all times. Individuals without their USA Swimming registration card will be removed from the pool deck, and will be subject to a fine by New England Swimming.
SCORING: This meet will not be scored for team and
individual
AWARDS: Ribbons will be awarded to individuals for eight places (1st through 8th) in each individual event by age group.
FOOD & EQUIPMENT VENDOR: A concession stand will be in operation for the duration of the meet, and possibly, a swimming equipment vendor will be selling suits, goggles, and other accessories at times during the meet if arrangements can be made.
PHOTOGRAPHER: As per USA Swimming and New England Swimming policy, the only photographers allowed on the pool deck at any time during the meet (including during warm ups) must be professional photographers contracted by GMSC or press photographers who have been approved in advance by the Meet Director and have been properly credentialed. Email the Meet Director with questions and requests.
